The Challenge

A local tenant management agency was drowning in communication volume. Maintenance requests came in by phone, text, and email — often after hours. Rent reminders went out manually. Lease inquiries sat in an inbox. Every inbound message required a human to triage, respond, and route — and the volume was relentless.

The agency wasn't understaffed. They were just spending too much of their time on the repetitive, structured communications that didn't require human judgment — and not enough time on the work that did.

The Approach

We built an AI communication layer that handles the full inbound and outbound communication surface for property management:

  • Voice automation — AI-handled inbound calls for maintenance requests, payment inquiries, and lease questions. Natural language understanding routes calls or resolves them without a human in the loop
  • SMS automation — Two-way text handling for maintenance updates, rent reminders, and tenant notifications. Tenants get real responses, not "we'll get back to you"
  • Email automation — Inbound email triage and response generation for common request types. High-confidence responses sent automatically; edge cases queued for human review
  • Maintenance request workflow — Structured intake from any channel (voice, text, email) normalized into a single work order queue with priority classification and vendor routing
  • Human escalation layer — Clear handoff logic when tenant needs fall outside automated handling. Staff see full context when they pick up escalated items

The system was built to be channel-agnostic — a tenant can start a maintenance request by phone and follow up by text and the system maintains full context across both.

From Client Engagement to Product

The original build was a custom engagement for a single agency. The workflows we designed — and the AI patterns that made them reliable — turned out to be highly transferable. Property management has consistent communication patterns across operators: the same request types, the same notification needs, the same escalation logic.

Tenantwise is now a product. We are actively taking on private property management clients for custom implementations built on the same platform foundation.
